Getting Set Up on Window Cleaning Software in a Day

A lot of owners put off software because they picture weeks of setup. For window cleaning, it does not have to be that way. If the software is already built around windows, stories, sides and recurring cleanings, setup is mostly entering what you already know. Here is a plan to go from a fresh account to a real route in one working day.

One Day Is Realistic

By the time you finish Importing Your Customer List Into Window Cleaning Software, the hardest part is already behind you. The rest is a series of short steps. Plan on a quiet day — a rain day works well — and work through them in order. You do not need everything perfect by evening; you need enough to run tomorrow's work from the software.

Morning: Company and Services

Company details (15 minutes). Your company name, logo, contact info and sales tax settings. These show on invoices, emails and the customer app, so get them right first.

Service list (45 minutes). This is the most important step of the morning. Enter the services you sell with your own prices:

A clear service list makes every estimate and invoice after this fast and consistent. Name each service the way you would say it to a customer, since those names show up on their estimates and invoices.

Late Morning: Customers

Import (an hour). Import your customer CSV and check the map. Every address is placed automatically; fix any that landed in the wrong spot.

Recurring plans (an hour or more). Add recurring plans to the customers due in the next few weeks first — 14 days for every-two-week storefronts, 30 for monthly, 90 for quarterly homes, 180 for twice a year. Add window details and access notes as you go. Customers due later in the year can be finished another day.

By lunch, the Waiting List map should show the cleanings that are due now.

Afternoon: Vans, Techs and Forms

Vans and employees (30 minutes). Add your vans and your employees. Give each employee a personal PIN and assign them to a van. Add office users with the right roles if someone else works in the office.

Website forms (30 minutes). Put the request form and sign-up form on your website so new leads land in Form Responses. Add questions about window count, stories, inside or outside, screens and access.

Alerts and texting (15 minutes). Check the reminder and alert messages: night before, when they are next, tech arrived. Keep them short and friendly.

Late Afternoon: Build Tomorrow's Route

Open the Waiting List and pick tomorrow's work from the due pins. Assign the jobs to a van and to tomorrow. On the dispatch board, filter by van and auto-route Closest First or Furthest First from the shop. Adjust any job that needs a set time.

Then log in to the tech app on your own phone with the company login and a PIN. Look at the first card: address, navigation button, window details and access notes. If it looks right on your phone, it will look right on the tech's.

The Next Morning: Run It

Send the van out on the software route. Have the tech clock in, work the list, take before-and-after photos and tap Complete. Watch the jobs complete from the office and check the invoices that are created. Customers with no card on file yet get the invoice and can pay online; ask them to add a card in the customer app for next time.

Expect small fixes: a window count that was off, an access note that needs more detail. Fix them as they come in. Each fix makes the next visit better.

What Can Wait

Not everything needs to happen on day one. Tags, custom fields, monthly billing for property managers, the rest of the recurring list and detailed reports can all come over the following week or two. The goal of day one is a working route, not a perfect database. For mistakes to avoid along the way, see Common Mistakes When Starting Window Cleaning Software.
