Common Mistakes When Starting Window Cleaning Software
Most problems with new software are not problems with the software. They are habits carried over from paper, shortcuts taken during setup, or steps skipped because the season got busy. The good news is that the same handful of mistakes show up again and again, which makes them easy to avoid once you know what they are.
Most Problems Are Setup Problems
Whether you are in Ohio or, as covered in Window Cleaning Software in Canada, Australia, New Zealand and the UK, somewhere further afield, the first few weeks with new software decide whether it sticks. Here are the mistakes to watch for, roughly in the order they tend to happen.
Mistake 1: Skipping the Window Details
It is tempting to import customers and start routing without filling in window counts, stories, sides and extras. The jobs show up on the tech's phone as just an address. Then the tech calls to ask if it is inside and outside, or cleans the outside only on a house that pays for both.
Fix: Fill in window details for every customer due in the next month before you route them, and let techs add the rest with notes on the first visit. Window Details on Every Job: Counts, Stories, Sides and Extras explains why each detail matters.
Mistake 2: Getting Recurring Plans Wrong
The recurring list is where the money is, and it is the easiest place to make a quiet mistake. A quarterly customer accidentally set to 180 days does not come due for six months. A customer whose plan was never added does not come due at all.
Fix: Go through recurring customers in order of when they are due, check each plan's minimum days — 14, 30, 90 or 180 — and compare the Waiting List against your old records for the first month.
Mistake 3: Running Two Systems Too Long
Keeping the old spreadsheet open for a week as a safety net is sensible. Keeping it going for three months is not. Two systems means double entry, and within weeks they disagree. Then nobody knows which one is right.
Fix: Set a date, check the recurring list against the old records, then stop updating the old system. Tell everyone in the company the date, so nobody keeps writing in the old notebook out of habit.
Mistake 4: Not Asking for Cards on File
Many companies set up the software, then keep invoicing the old way. The invoices are created automatically, but nobody is on auto-charge, so the office still chases payments.
Fix: Ask every recurring customer to add a card in the customer app at their next visit, and capture cards on the sign-up form for new customers. Once the card is on file, each completed job can be charged on the spot.
Mistake 5: Techs Who Don't Tap Complete
Some techs clean the glass and move on without tapping Complete. The office cannot see the job is done, the invoice is not created, the card is not charged and the recurring plan does not start counting toward the next visit.
Fix: Explain why it matters — Complete is what gets the customer billed and brings them back next time — and make Start, photos and Complete part of every job from day one. Watch the office screen the first week; when a job sits in progress for hours, ask about it. It becomes habit quickly.
Mistake 6: Messy Customer Records
Duplicate clients, inconsistent tags and old gate codes stacked on top of new ones creep in fast. Duplicates in particular cause trouble: the same house appears twice on the Waiting List, or a customer's history is split across two records.
Fix: Search before adding a client, convert website sign-ups with one click instead of retyping them, agree on a short tag list, and replace old access notes rather than adding to them.
Mistake 7: Too Many Texts
Turning on every alert for every customer, with long messages full of curly quotes and dashes, burns through the monthly text allowance and annoys customers.
Fix: Keep templates short and plain, and let customers choose their alerts: the night before, when they are next, or when the tech arrives.
Start Clean, Stay Clean
Fill in window details, check recurring plans, commit to one system, get cards on file, make Complete a habit, keep records tidy and keep texts short. Avoid those seven mistakes and the software will run the way it is meant to. Read more on the window cleaning software page.
