Proof-of-Service Photos: Showing Property Managers the Glass Was Cleaned
Residential customers usually see the work. They are home, or they come home to clean windows. Property managers mostly do not. They may manage a building across town and visit it twice a year. When a tenant says the windows were not cleaned, the manager has nothing to go on but your word. A photo changes that.
Why Commercial Clients Need Proof
A lot of commercial visits happen early, before anyone is in the building, using the access described in Access Notes for Commercial Window Cleaning: Back Doors, Keys and Alarm Codes. That is good for the business and bad for being noticed. The glass gets cleaned at 6am, the first employee arrives at 8, and nobody connects the clean glass with your visit.
Then, two weeks later, it rains, a tenant sees spots and calls the manager. The manager calls you. Without proof, it is your word against the tenant's. With a photo from the visit, it is a short conversation.
How Photos Work in the Tech App
Techs take before and after photos right in the tech app on their phone. The photos are saved with the visit at that address, under that client. There is no separate camera roll to sort through, no emailing pictures to the office, and no guessing which building a photo shows.
When the tech taps Complete, the office sees the visit done with its photos and notes. Weeks or months later, the photos are still there with the visit they came from.
What to Photograph
Photos are only useful if they show what a manager would ask about. A few shots per stop are enough:
- Wide before shot of the storefront or the side of the building, so the location is obvious.
- Close before shot of the worst glass: the door, a hard-water spot, bird droppings.
- Matching after shots from the same spots.
- Anything unusual: a cracked pane, damaged screen, broken seal or graffiti. Photograph it before you touch anything.
That last one protects you. If a manager later finds a crack, a photo from before your visit shows it was already there.
Answering a Complaint With a Photo
When a manager texts “Tenant says the windows at Pine Plaza weren't done,” the office finds the address, opens the last visit and sends the photo back through two-way texting. “Cleaned on the 17th at 6:20, here is the after photo. Happy to have the tech look again if something was missed.”
Most of the time, that ends it. Sometimes the photo shows that weather or construction dust made the glass dirty again after your visit, which is useful information for the manager. Either way, you look organized and the manager has something to forward to the tenant.
Photos Back Up the Monthly Statement
Property managers on Monthly billing get one statement covering every location, each line labeled with the address. When a manager reviews that statement and questions a line, the photos from that visit are the backup. For more on statements, see Monthly Statements for Commercial Window Cleaning Accounts: One Bill for Every Location.
Some window cleaners send a few photos to new managers after the first visits, before anyone asks. It is a simple way to show what you do and start the relationship on the right foot.
Making Photos a Habit
Photos only help if the techs take them every time, not just when they remember. A few ways to build the habit:
- Make photos part of the standard stop: before, clean, after, Complete.
- Put a reminder in the access notes for accounts where the manager has asked for photos.
- When a photo settles a complaint, tell the crew. Nothing builds a habit like seeing it work.
- Check a few completed visits each week and see whether photos are attached.
It takes less than a minute per stop, and it is the cheapest insurance against losing an account to a misunderstanding.
Photos Protect the Tech Too
Photos are not only for the client. They protect your crew. When a tech arrives at 6am and finds a broken pane, spray paint on the glass or a door left open by the last employee out, a photo taken before any work starts shows exactly what the tech found. Add a short note on the visit, and the office can pass it along to the manager the same morning.
That turns a potential accusation into a helpful heads-up. Managers remember the vendor who told them about the broken window before the tenant did, and it is one more small reason for them to keep you.
