Monthly Statements for Commercial Window Cleaning Accounts: One Bill for Every Location

Ask a property manager what they dislike about vendors and billing will come up fast. Nine invoices from one company in one month, each for a different building, each with its own due date and its own email. They have to match each one to a property, approve it and pass it to accounts payable. A monthly statement fixes that.

Why Commercial Accounts Want One Bill

The account structure that makes this possible is covered in One Account, Many Addresses: How Commercial Window Cleaning Clients Are Set Up. Once a client has all its locations under one record, billing them together is a single setting.

A property manager with several buildings, a dental group with several offices or a dealer group with several stores all want the same thing: one document a month that shows everything you did for them. It is easier to approve, easier to pay and easier to file.

How Monthly Billing Works

In WindowBossPro, set the account's billing to Monthly. From then on, completed visits at any of the account's addresses are gathered onto one statement for the month instead of each producing its own invoice.

Each line on the statement is labeled with the address it covers. A manager reading it might see:

Pine Plaza shows twice because it is on a two-week cycle. The medical building shows once because it is monthly. The manager can see at a glance which property each charge belongs to and when it happened.

Line Items, Extras and Sales Tax

Statements carry line items and sales tax the same way regular invoices do. If the tech did hard-water removal at one building that month, or the manager approved a one-time interior clean, those show as their own lines under the right address.

That matters to managers who bill costs back to building owners or tenants. With the address on every line, they can split the statement themselves without calling you to ask which charge was which.

Backing Up the Statement With Photos

A statement says what you did. Photos show it. Before and after photos taken in the tech app stay with each visit at each address. When a manager questions a line, the office can find the visit and text the photo. For more on that, see Proof-of-Service Photos: Showing Property Managers the Glass Was Cleaned.

Most managers will never ask. The ones who do are usually answering a question from a building owner, and a quick photo makes them look good.

Getting Paid

The manager can pay the statement online from the customer app, where they can also see past invoices and statements. If the account has a card on file, you can charge it on a schedule. Some managers prefer to pay through their own accounts payable process, and that is fine too.

If a statement goes past due, follow-up goes out on its own, so you are not writing reminder emails by hand. The office can also text the manager directly through two-way texting, from the account record, with the statement in front of them.

When Not to Use Monthly Billing

Monthly billing is for accounts that want it. A single coffee shop on your route usually does better with card on file charged when the tech taps Complete. The owner never has to think about it, and you are paid the same day.

A good rule: one location and an owner on site, use card on file per visit. Several locations or a manager off site, use Monthly. You can switch an account at any time if their preference changes.

Before and After Monthly Statements

Before: the office creates nine invoices, sends nine emails, chases nine payments and answers a confused call from a manager who cannot match an invoice to a building. After: one statement, one email, one payment and one clear document with every address on it.

For companies with a handful of property managers, that difference adds up to hours each month and fewer late payments.

One Account, One Bill

Monthly statements are one of the simplest ways to keep commercial clients happy and paying on time. Put the locations under one account, turn on Monthly and let the statement build itself. For the rest of the commercial setup, visit the WindowBossPro commercial window cleaning software page.
