From Website Request to Client: Quotes and Sign-Ups in Window Cleaning Software
Every customer on your list started as a stranger asking a question. How that question gets answered — how fast, how clearly, and whether anyone has to retype it — decides how many of those strangers become customers. Window cleaning software should make the path from “how much for my windows?” to a scheduled cleaning as short as possible.
Where New Customers Come From
Once someone is a customer, Clients, Addresses and Tags: Organizing Customers in Window Cleaning Software covers how to keep them organized. This article is about the step before: getting them onto the list in the first place. In WindowBossPro there are two main paths in, a request that needs a quote and a sign-up that is ready to go.
Path One: The Request Form
Most residential customers want a price before they commit, and every house is different. The request form on your website collects what you need to quote: name, contact details, address and a description of the job. Good questions to include:
- Roughly how many windows, and how many stories?
- Outside only, or inside and outside?
- Screens, tracks or hard-water stains?
- Any gate, pet or access details we should know?
The request lands in Form Responses in the office, not in an email inbox that might go unchecked for days. From there the office builds the quote.
Building the Estimate
Estimates are built from your service list: per window, per screen, story add-ons, hard-water removal and whatever else you offer. Your prices are set once, so the estimate is a matter of picking services and entering quantities. A 2-story house with 30 windows, inside and outside, with screens is a few lines and a total.
The estimate goes to the customer, who approves it online. When they approve, the approved estimate becomes scheduled services on their address, with the window details attached. The office does not re-enter anything to get them on the schedule.
Path Two: The Sign-Up Form
Some customers do not need a custom quote. A storefront owner who wants the front glass done every two weeks, or a homeowner choosing a standard package, can sign up directly. The sign-up form captures the customer's details, the services they want and a card.
Sign-ups also land in Form Responses. One click converts a sign-up into a client, with the contact details, address and card on file already in place. The card on file means the first cleaning can be charged when the tech taps Complete.
Existing customers can sign up for more from the customer app, where they see your services and pricing.
Speed Is the Whole Game
A homeowner who asks three window cleaners for a quote often books whichever one answers first. When requests land in one place and estimates come from a ready-made service list, the office can answer the same day, sometimes the same hour.
Online approval matters too. A customer who can tap Approve on their phone at 9pm does not have to remember to call you back in the morning. And once they approve, nothing gets lost between “yes” and the schedule.
It helps to check Form Responses at set times — first thing in the morning, at lunch and at the end of the day — rather than whenever someone remembers. A two-van company with one person in the office can answer most requests within a few hours that way. A one-van owner-operator can do the same from a phone between jobs, since the estimate is built from services already set up.
Requests That Don't Become Customers
Not every request turns into a job, and that is fine. Some people are price shopping; some live outside your area. Keeping every request in Form Responses means you can see which ones were answered and which are still waiting, so a real lead never slips through just because the week was busy. A quick follow-up text a few days after an estimate goes out often wins the ones that were on the fence.
From Client to First Cleaning
Once the estimate is approved or the sign-up is converted, the new client's work goes on the Waiting List. The office assigns it to a van and a day, and it shows up on the tech's phone in route order with the window details from the quote. If it is a recurring plan, the next visit comes due on its own after the first. For how that day gets planned, see Routes and the Dispatch Board: How Window Cleaning Software Plans the Day.
The first visit is also when the tech confirms what the quote assumed. If the count was off or there is a skylight nobody mentioned, a note on the job gets the record corrected.
Every Request, Answered
Request forms and sign-up forms that land in Form Responses, estimates built from your service list, online approval and one-click conversion to a client turn website visitors into scheduled cleanings without retyping. Read more on the window cleaning software page.
