Window Cleaning Software for Companies Running Several Crews

Somewhere between the second van and the fourth, a window cleaning company changes shape. The owner stops cleaning every job. An office person starts answering the phone. Techs run routes they have never seen before. The information that used to live in one head now has to live somewhere everyone can reach it.

The Problem Changes When You Add Vans

Window Cleaning Software for the One-Van Owner-Operator was about saving the owner's time. With several crews, the problem is different. It is about passing information between people without losing any of it. The owner knows that the Hendersons get inside and outside with screens, that the dog is friendly but the gate sticks, and that the ladder goes on the patio side. A new tech does not.

In a multi-crew company, every phone call to the owner from a job site is a sign that something lives in the wrong place.

Put the Details on the Job, Not in Someone's Head

WindowBossPro keeps window details on every job: the number of windows, the stories, the sides, extras like screens, tracks and hard-water removal, and access notes. They show under the address on the office lists and on each tech's phone, in a line like “28 windows · 2-story · Inside & Outside · Screens.”

That is what makes it possible for any tech to run any route. When someone is out sick, the office moves their jobs to another van and the details go with them.

Split the Day by Van

With several crews, the daily plan is a split: which jobs go to which van. A common setup is one van on residential jobs and one on a storefront route, with a third picking up spring cleans, move-outs and overflow.

The Waiting List shows every cleaning that has come due on a live map, colored not due yet, due now and overdue. The office assigns due cleanings to a van and a day. On the dispatch board, they filter by van, auto-route each van Closest First or Furthest First from the shop, and fine-tune the order by hand. Each tech's phone shows only their own jobs, in the same order. More on that in Routes and the Dispatch Board: How Window Cleaning Software Plans the Day.

See the Crews Without Calling Them

With one van, you know where the van is because you are in it. With four, the office needs another way. Crew GPS from the techs' phones shows on the office map during the workday. As techs tap Start, Complete or Skip, the office sees which jobs are underway, done or skipped and why.

The time clock lives on the same phone. Techs clock in and out in the tech app, so hours are recorded as they happen instead of reconstructed from memory on Friday.

Before-and-after photos attach to the job, which matters more with several crews. When a customer says a window was missed, the office can look at what the tech recorded instead of taking a side.

Office Roles and Employee PINs

A bigger company has more people in the system, and they should not all see everything. WindowBossPro has office user roles so office staff see what they need. Techs log in to the tech app with the company login plus their own personal PIN, so every photo, completion and clock-in belongs to the right person. When someone leaves, the office turns off their PIN.

Employees are assigned to vans, which is how the dispatch board and the tech app know whose jobs are whose.

Billing That Doesn't Bottleneck

In a growing company, billing often becomes the job of one overworked person. Software spreads it out. When a tech taps Complete, the invoice is created and the card on file can be charged. The office reviews exceptions instead of building every invoice. Property managers and businesses with many locations, which usually show up as a company grows, can be set to Monthly and get one statement covering every address.

Plans for More Than One Van

WindowBossPro's Pro plan is $89 a month with three office users and two vans. Crew is $199 a month with unlimited office users and vans. Techs on the tech app are never billed per user on any plan. The Crew plan includes a monthly text allowance of 2,000 segments sent and received, which suits a company texting many customers each day.

Grow Without Losing the Details

The companies that grow smoothly are the ones that move information out of people's heads early. Window details on the job, routes by van, crew GPS and billing at completion let the owner step off the ladder without things falling apart. See the full picture on the window cleaning software page.
