Scheduling a New Window Cleaning Customer's First Visit
A new customer's first cleaning sets the tone for everything after it. Show up on the promised day, know where the gate is and leave the glass spotless, and you have a customer for years. Show up late, miss the screens they paid for or put the ladder in the flower bed, and the second visit may never happen. The first visit also sets their place in your route rhythm, which matters more than most owners realize.
New Customers Come in Many Shapes
The previous article, Routing Property Manager Accounts: Many Addresses, One Window Cleaning Client, covered the biggest kind of new account. Most new customers are simpler: one homeowner, one house, one plan. But the first visit deserves the same care.
From Estimate or Sign-Up to Schedule
New customers usually arrive in WindowBossPro one of two ways.
An approved estimate. You build an estimate from your service list with per-window, per-screen, story add-ons and hard-water pricing. The customer approves it online, and the approved estimate becomes scheduled services, with the window details already on the address.
A sign-up form. Your website request form and sign-up form, with card captured, flow into Form Responses. One click converts a sign-up into a client.
Either way, the new address lands on the map with its window count, stories, sides and extras, ready to schedule.
Line Them Up With the Neighbors
Here is the part most owners miss. Because recurring plans count from the last completed cleaning, the date of the first visit sets when every future visit comes due. Clean a new quarterly customer on the same day as three other quarterly customers on their street, and they will keep coming due together. Squeeze them in on a random day across town, and they will keep coming due on their own, forever.
So before you pick a date, open the Waiting List map. Are there due or nearly-due customers near the new address? If a van will be in that neighborhood next Tuesday, that is probably the best first visit date, even if Monday was open. More in Grouping Neighborhoods: Building Tighter Window Cleaning Routes.
Check the Details Before the Day
First visits are where surprises live, because nobody on your crew has been there. Before the day, read the address record:
- Do the window count and stories look right for the house? A quick question to the customer can catch a missing third story.
- Inside, outside or both? If inside, who will be home?
- Screens, tracks or hard-water removal on the job?
- Access notes: gate code, dog, where to set the ladder, skylights?
If anything is missing, text the customer through two-way texting a day or two ahead. It is far easier to get a gate code by text on Monday than from a locked side yard on Tuesday.
Set Expectations on Timing
New customers do not know your routine yet. Encourage them to choose their alerts: the night-before reminder, the “when I'm next” text and the arrived text. For an inside cleaning, the arrived text is the one that gets the door open. If they install the customer app, they can watch their place in line on the live route map on the day.
On the Day
Put a first visit early in the route if you can, while the crew is fresh and there is time to handle surprises. Set it there by hand after auto-routing. The tech sees the window details and access notes on the card, takes before-and-after photos, and taps Complete, which creates the invoice and can charge the card on file.
After the visit, the tech should note anything the office should know for next time: the real window count, a sticky gate, a skylight that needs a different ladder. Updating the address now means every future visit is right.
Follow Up After the First Visit
A short text a day or two later, asking if everything looked good, goes a long way with a new customer. It catches the missed pane before it becomes a complaint, and it is a natural moment to ask for a rating or a referral, which customers can do from the customer app. Happy first-visit customers are the best source of new customers on the same street, which brings you right back to tighter routes.
Start Every Customer in the Right Place
A first visit done right earns trust and sets a route rhythm that saves driving for years. Pick the date with the map open, check the details ahead, and let the texts handle the timing. For more, visit the WindowBossPro window cleaning route software page.
