Form Responses: Turning Window Cleaning Sign-Ups Into Clients in One Click
Website leads are only valuable if somebody acts on them. In many small window cleaning companies, form submissions land in an email inbox next to supplier invoices and spam, and the good ones get buried. Form Responses gives website requests and sign-ups their own place, and turns a sign-up into a client without retyping a thing.
One Inbox for Website Leads
In The Website Sign-Up Form: Window Cleaning Services, Pricing and a Card Captured we set up a form that lets customers buy on your website. Every entry from that form, and from your quote request form, lands in Form Responses in WindowBossPro. It is the to-do list for new business.
A Daily Habit
Form Responses only works if someone checks it. Make it part of the office routine:
- First thing in the morning. Overnight requests and sign-ups get a response before the day gets busy.
- Midday. In busy season, a second check catches leads while they are still shopping.
- Before closing. Nothing waits until tomorrow if it can be answered today.
If you are a one-person operation, check it at lunch and at the end of the day from your phone. A quick text acknowledging the lead buys you time to quote properly.
Handling a Quote Request
A request means the prospect wants a price. Read what they sent: the address, sides, stories, rough window count and extras. Look at the house if you can. Then text them with any questions, ask for photos if needed, and build the estimate from your service list. Send it for online approval. When they approve, it becomes scheduled services.
Converting a Sign-Up in One Click
A sign-up is different. The customer already chose a service and price and left a card. The office reviews it and converts it into a client in one click. That creates the client with their contact details and address, places the address on the map and keeps the card on file. The services they chose are ready to schedule.
Before you click, a quick review saves trouble:
- Does the address look right? Typos happen.
- Does the option match the house? If someone picked “small home” for a large two-story, text them before the first visit.
- Are they already a client? An existing customer signing up for an add-on should not become a duplicate record. Add the service to their existing client instead.
- Is the address in your service area? If not, contact them and decline politely.
After Conversion: Fill In the Window Details
A sign-up form may not capture everything the crew needs. Once the client exists, fill in the window details on the job: number of windows, stories (1-story, 2-story or 3+ story), sides (outside only, inside & outside, inside only) and extras (screens, tracks, hard-water removal). Add access notes for gate codes, dogs, ladder spots and skylights.
Those details show under the address on the lists and on the tech's phone, like “28 windows · 2-story · Inside & Outside · Screens.” If you do not know them yet, ask the customer, or have the tech record them on the first visit. Counting tips are in Counting Windows for an Estimate: From the Curb, From Photos or on a Walkthrough.
Getting the First Cleaning on the Schedule
A new client is most excited right after they sign up. Get the first visit on the schedule quickly. For a recurring plan, the first cleaning shows as due now on the Waiting List map, so the office can drop it into a nearby van's route. For a one-time job, put it on a day on the Scheduled List.
Send a welcome text from the office with the date. Customers can choose their alerts in the customer app: the night before, when they are next, and when the tech arrives. On the day, they get automatic “on the way” and “arrived” texts. When the tech taps Complete, the invoice is created and the card captured at sign-up can be charged.
Leads That Do Not Convert
Not every request becomes a customer. If a quote goes unanswered, follow up. See Following Up on Window Cleaning Quotes Nobody Answered. If someone is out of your area or wants a service you do not offer, tell them quickly and kindly. A fast “no” is better than silence.
From Form to Client Without Retyping
Form Responses gives your website leads a home, and one-click conversion turns sign-ups into clients with the card already on file. Check it daily, review before converting, fill in the window details and get the first visit booked fast. For more on quoting in WindowBossPro, see the window cleaning estimate software page.
