Moving Customers Between Window Cleaning Plans

The plan a customer starts on is rarely the plan they stay on forever. A twice-a-year homeowner builds a pool and suddenly wants quarterly visits. A storefront on monthly service opens a patio and needs every two weeks. A quarterly customer retires to a smaller budget and asks to drop to spring and fall. Moving customers between plans is normal, and it should be easy for you and for them.

Why Customers Change Plans

Extras like screens and tracks, covered in Adding Screens and Tracks Every Other Visit on a Window Cleaning Plan, are one way a plan changes over time. Frequency is the other.

Common reasons customers move up:

Common reasons customers move down:

A downgrade is not a loss. A customer who drops from quarterly to twice a year is still a customer. A customer who feels stuck on a plan they cannot afford is one who cancels.

Changing the Plan in WindowBossPro

Because every recurring plan runs on the minimum days between visits, changing a plan is just changing that number on the address. Twice a year to quarterly is 180 to 90. Monthly to every two weeks is 30 to 14. Quarterly to twice a year is 90 to 180.

The next visit comes due from the last completed visit using the new number. If a twice-a-year home was cleaned two months ago and moves to quarterly, it comes due again in about a month. If a quarterly home was cleaned two months ago and moves to twice a year, it will not come due for about four more months. The Waiting List updates on its own; there is nothing else to rebuild.

Update Everything That Goes With It

A plan change is a good moment to look at the rest of the address. A few things to check:

Suggesting a Plan Change

Customers do not always know they need a different plan. Your techs see the glass every visit and often know before the customer does. If the tech keeps noting heavy hard water on a twice-a-year home, or a storefront looks rough well before its monthly visit, that is a reason to suggest a change.

Keep the suggestion low pressure and practical. A text through two-way texting from the office works well: “Our tech noticed the sprinkler spots are building up between visits. Quarterly would keep them from setting in. Want to switch?” Include before-and-after photos from the tech app if they help make the point.

Watch your reports for the same signal. A customer who keeps requesting extra cleanings between plan visits through the customer app is telling you they want a shorter cycle.

Handling a Downgrade Well

When a customer asks to drop to fewer visits, say yes, make the change and thank them for staying. Do not argue. Do mention what they will keep: clean windows on a schedule, reminders, no phone calls and the card charged on completion. Note the reason on the client so you remember it. A customer who downgraded for budget reasons is a good candidate to move back up later.

If the customer is asking about leaving entirely, read When a Recurring Window Cleaning Customer Cancels first. Offering a lighter plan is often the best way to keep them.

Plans That Fit the Customer

The right plan is the one that matches how fast the customer's glass gets dirty and what they want to spend. Make it easy to move in either direction, update the details when you do, and the customer stays on a plan for years instead of leaving because the old one stopped fitting.
