Declined Cards in a Window Cleaning Business: What to Do Next

Card on file is the best thing that ever happened to window cleaning billing, right up until a card declines. It will happen. Cards expire, banks replace them after fraud, customers hit their limit the week before payday. A decline is not a sign the customer is trying to stiff you. Most of the time they do not even know. What matters is having a calm, simple process for what happens next.

Declines Are Normal

Deposits on big jobs were covered in Deposits for Big Window Cleaning Jobs: A Simple Policy Built on Invoices. Whether it is a deposit or a regular cleaning, the same thing can happen to any card charge: the bank says no.

The usual reasons are boring. The card expired. The bank sent a new card with a new number. The customer reported a lost card. A daily limit was hit. Fraud protection flagged a charge from a business it had not seen before. None of these mean a bad customer.

What Happens in WindowBossPro

When a tech taps Complete and the job is set to charge the card on file, the invoice is created and the charge is attempted. If the card declines, the invoice stays open. It does not disappear and it is not marked paid. The office can see it among the open invoices, and the customer can see it in the customer app.

From there, three things can fix it: the customer updates their card in the customer app and pays, the customer pays online with a different method, or the past-due follow-up nudges them by text and email until they do one of the first two.

Send a Friendly Text the Same Day

The fastest fix is a short, friendly text from the office. With two-way texting, the office can send it right from WindowBossPro and the reply comes back to the same place. Something like:

“Hi Linda, thanks for having us out today. The card we have on file didn't go through for the cleaning. You can update it and pay in our app here, or reply and we'll help.”

Keep it light. Do not say the word “declined” in a way that sounds like an accusation. Thank them for the business first. Most customers fix it within the hour, a little embarrassed and glad you told them.

Let the Customer Fix It Themselves

The worst way to handle a decline is to have the customer read a new card number to someone in the office over the phone. It is slow, it is a security risk, and it ties up whoever answers. The customer app solves that: the customer opens it, updates their card and pays the open invoice on their own time. Letting Window Cleaning Customers Update Their Own Card in the Customer App goes through that in detail.

Follow Up Without Nagging

Some customers will not respond to the first text. That is where past-due follow-up comes in. WindowBossPro follows up open invoices by text and email, so the reminder goes out without anyone in the office having to remember. A reasonable rhythm:

The full routine is covered in Past-Due Window Cleaning Invoices: A Follow-Up Routine That Gets Them Paid.

Before the Next Cleaning

The real risk with a decline is not one missed payment. It is the next visit. If a quarterly customer's card is still bad, the next cleaning will decline too, and now the customer owes for two.

Make it a habit to check open invoices before building the week. Recurring cleanings come due on the Waiting List on their own; before you assign one to a van, look at whether the customer has an open balance. If they do, a quick text before the visit, “Before we come out Thursday, can you update your card in our app?”, usually clears it up. Whether you hold the cleaning until it is paid is your call, but decide on a policy and stick to it.

Commercial Accounts Are Different

Property managers and storefront owners on a monthly statement are less likely to have a card decline, because many pay the statement on terms rather than by card. If a business card does decline, the person who handles payment is often not the person you deal with on site. Ask who handles billing and text or email them directly.

A Decline Is Just a Step

With a clear process, a declined card turns into a two-minute task: the invoice stays open, the office sends a friendly text, the customer updates their card in the app and pays. To see how WindowBossPro handles card on file and payment, visit the window cleaning billing software page.
