Auto-Charge at Completion: Getting Paid the Moment the Window Cleaning Job Is Done
The shortest path from a clean window to money in the bank is one tap. The tech finishes the last pane, taps Complete on their phone, and the customer's card is charged. No invoice to write that night, no envelope to wait for, no reminder to send. Here is how auto-charge at completion works and how to set it up so it runs without surprises.
From Card on File to Charge
Getting customers to keep a card on file is the first step, and Card on File for Window Cleaning Customers: How to Ask and What to Say covers how to ask. This article is about what happens to that card once the job is done.
In WindowBossPro, when a tech taps Complete on a job in the tech app, the invoice is created from the job, using the line items from your service list, the window details and the sales tax. If the customer has a card on file and the job is set to charge at completion, the card is charged at the same time.
What the Tech Does
Almost nothing extra, which is the point. A tech's day in the app is the jobs in route order, a navigation button, the window details and access notes on each card, then Start, Skip or Complete. Before-and-after photos and notes go on the job as they work.
The one habit that matters for billing: anything that changed on site gets noted before Complete. If the customer asked for screens that were not on the job, or the tech only got to the front of the house because of a locked gate, a note on the job tells the office before the money moves. Agree on that rule with every tech on day one.
What the Customer Sees
The customer gets their alerts as the day goes: the night before, when they are next, when the tech arrives, depending on what they chose. After the job, they get the invoice. In the customer app they can see the invoice and the payment, and they can update their card if they want to use a different one next time.
Because the charge comes after a text that said the crew was there, and comes with an invoice that lists the windows, the screens and the tracks, it rarely surprises anyone. Surprise is what causes disputes, and a clear process removes it.
What the Office Sees
The office sees the job move to complete with its photos and notes, the invoice created, and the payment recorded. Jobs that charged cleanly need no attention. The office only has to look at the exceptions: a card that declined, or a note from the tech that says something changed.
That flips billing from “process every job” to “handle the few that need a human.” On a day with twenty residential jobs, that might be one or two.
Completion or a Schedule?
WindowBossPro can auto-charge on completion or on a schedule. Each fits different customers:
- Charge at completion fits most residential work: quarterly plans, twice-a-year customers, one-time spring cleans and move-outs. The customer pays for the visit when the visit is done.
- Charge on a schedule fits customers who prefer a predictable charge date, or businesses that want their billing on a set day rather than after each visit.
- Monthly statement fits property managers and businesses with several locations. They get one statement covering every address, each line labeled.
Storefront routes can go either way. Storefront Window Cleaning Billing: Monthly Statement or an Invoice per Visit? walks through that choice.
When the Charge Fails
Cards expire and get replaced. When a charge at completion is declined, the invoice stays open instead of disappearing. The customer can update their card and pay from the customer app, and past-due invoices are followed up by text and email. The office can also text the customer directly with two-way texting. A short friendly message, “Your card on file didn't go through for today's cleaning, you can update it in our app,” fixes most of them the same day.
Setting It Up Without Surprises
A few things to do before you turn on auto-charge across the board:
- Check your service list prices. The charge uses them, so make sure they are current.
- Check the window details on each job. The count, stories, sides and extras should match what the customer agreed to.
- Set sales tax once. So every invoice is right.
- Tell customers. A one-line message: “Your card will be charged after each cleaning and you'll get an invoice.”
- Train the note habit. Changes on site get noted before Complete.
Paid Before the Ladders Are Loaded
Auto-charge at completion is the single biggest billing time-saver for most window cleaning companies. It turns invoicing and collecting into something that happens on its own while the crew drives to the next job.
