Streaks, Re-Cleans and Refunds: Billing When a Window Cleaning Customer Complains

Sooner or later a customer will text a photo of a streak. Maybe it is a real miss on a sunny window. Maybe it is the inside of a window you only cleaned outside. Maybe it is hard-water spotting that was there before you arrived. How you handle that complaint, and what you do with the invoice, decides whether you keep the customer.

Complaints Are a Billing Question Too

Post-construction jobs, covered in Post-Construction Window Cleaning Invoices: Billing the Builder Clean, are one place disputes come up. But the everyday version is a residential customer, a quarterly cleaning, and a streak on the patio door. The work side is a re-clean. The billing side is what this article is about.

A note up front: re-cleans, refunds and credits are your business policy, not a software feature. WindowBossPro gives you the record to make a fair call. The call itself is yours.

Step One: Look at the Record

Before you say anything about money, look at what happened. In WindowBossPro the job record has:

Most complaints sort themselves into one of three buckets once you look: a real miss, a misunderstanding about scope, or a pre-existing condition like hard water.

A Real Miss: Re-Clean First

If the crew missed it, own it. The standard in the window cleaning trade is a free re-clean of the missed windows, usually within a set number of days of the original visit. It costs you a short stop on a route that is probably nearby anyway, and it costs nothing in goodwill.

Schedule the re-clean as a one-time job at the same address with no charge, and note why on the job: “Re-clean of back slider, streak reported by customer.” Leave the original invoice alone. The customer paid for a cleaning and is getting the cleaning finished.

Reply quickly, through two-way texting from the office: “Sorry about that, we'll come back and redo it. Does Thursday morning work?” Fast, simple, no argument.

A Misunderstanding About Scope

If the customer is unhappy that the inside was not cleaned, and the job was outside only, the record settles it kindly. Do not argue. Explain what was on the job and offer to add it: “Your plan is outside only. We'd be happy to add the inside next time, or come back this week for it.”

This is where clear invoice line items pay off. A customer who sees “Window cleaning — outside only, 24 windows” on every bill rarely makes this complaint. For more on that, see Window Cleaning Invoice Line Items Customers Actually Understand.

Pre-Existing Conditions

Hard-water stains, scratches and etching often look like streaks to a homeowner. They are not something a regular cleaning removes. The before photos and the tech's note are your friend here. Show them, explain the difference, and offer hard-water removal as a separate quoted service if it makes sense.

Handled well, this complaint turns into an upsell. Handled badly, it turns into a refund for something you never caused.

When a Refund or Credit Makes Sense

A re-clean fixes most complaints. Sometimes it is not enough or not possible:

In those cases a partial refund, a full refund on the affected line, or a discount line on the next invoice may be the right call. Decide on a policy you can apply the same way every time, and note it on the job and the client so the office knows what was done and why. A short note now saves a confused conversation six months later.

Card on File Customers

Customers with a card on file were already charged when the tech tapped Complete. That is fine. Do not let a complaint stop you from charging at completion; just handle complaints quickly afterward. Customers trust card on file more, not less, when they see complaints fixed fast.

Fix It, Note It, Keep the Customer

Look at the record, re-clean real misses for free, explain scope kindly, show the before photos for pre-existing problems, and keep refunds for the rare cases that need them.
