Window Cleaning Billing Reports: What to Check and What It Tells You

A lot of window cleaning owners run their business by feel. Busy week, good week. Quiet week, bad week. That works up to a point, and then it stops working: the business grows, the owner is off the ladder more, and the feeling no longer matches the bank balance. Billing reports turn the feeling into numbers you can act on. You do not need many. You need the right few.

Reports Feed the Monthly Review

The monthly routine was covered in The Month-End Billing Review for a Window Cleaning Company. Reports are the raw material for that review. This article is about which numbers matter and what they are telling you.

WindowBossPro includes reports, and every invoice and payment comes from the same job records, so the numbers are consistent. The questions below are the ones worth asking of them.

What Was Billed

The total invoiced for a period is your revenue in the plainest sense. Look at it by month and compare:

A drop in billed revenue usually has a simple cause: fewer recurring cleanings came due, more were skipped, or a big commercial account left. The number tells you to look; the job records tell you why.

What Was Paid

Billed and paid are not the same thing. The gap between them is money you earned and do not have yet. For a company with most customers on card on file, charged when the tech taps Complete, the gap should be small. If it is growing, something is off: more declines, more customers paying by hand, or commercial accounts slipping on their terms.

Watching the gap month by month is one of the simplest ways to see whether your billing process is working.

What Is Still Open

Open invoices are the most actionable number in billing. Look at them by age. Recent ones are normal; past-due follow-up is already working on them by text and email. Older ones need a person. A long tail of old open invoices means follow-up is not happening or not working. See Past-Due Window Cleaning Invoices: A Follow-Up Routine That Gets Them Paid.

Splitting by Customer Type

Most window cleaning companies have three businesses inside one: residential homes, storefront routes, and commercial or property management accounts. They behave differently, and lumping them together hides what is going on.

WindowBossPro lets you tag clients, with tags like Residential, Storefront, Commercial and Quarterly, and add custom fields. Use them consistently and you can look at each group on its own:

If one commercial client is a big share of your billing, that is worth knowing before they put the contract out to bid.

Extras and Add-Ons

Screens, tracks, story add-ons and hard-water removal are where window cleaning margins live. If invoices are built from your service list with these as separate lines, you can see how often they are being sold and billed. If your crews do screens on almost every spring job but screens barely show up in billing, money is leaking somewhere. See Billing Screens, Tracks and Hard-Water Removal on a Window Cleaning Invoice.

Skips and Missed Revenue

A skipped job is revenue that did not happen. Each skip in the tech app comes with a note on why: locked gate, weather, customer cancelled. Looking at skips over a month shows patterns. A handful of addresses that skip every time may need an access fix or a conversation. A wave of weather skips is normal but needs rescheduling so the revenue comes back.

Using the Numbers

Reports only matter if they change what you do. A few examples:

Pick one thing each month. Small, steady fixes add up.
