Billing One-Time Window Cleaning Jobs: Spring Cleans and Move-Outs

Recurring customers pay the bills in the slow months. One-time jobs pay for the new ladder. Spring cleans, move-outs, move-ins, pre-listing cleans for realtors, a one-off before a graduation party: these jobs come in waves and they are worth good money. They are also the jobs most likely to go unpaid, because there is no ongoing relationship to protect. Billing them well starts before the crew shows up.

One-Timers Need a Different Approach

Recurring customers were covered in Billing Recurring Window Cleaning Plans: Quarterly Homes and Twice-a-Year Customers. With them, trust builds over many visits. With a one-time customer, you have one shot to get it right and get paid.

Get the Card Before the Job

The most important rule for one-time work: capture a card before the work is done. A customer who is moving out next week may be in another state by the time a mailed invoice arrives.

In WindowBossPro, the website sign-up form captures a card when the customer signs up, and the sign-up flows into Form Responses. One click converts it into a client with an address. If the job started as a quote instead, the customer approves the estimate online and the approved estimate becomes a scheduled job. Ask for the card at that moment, while the customer is engaged.

When the tech taps Complete, the invoice is created and the card on file can be charged right then. The one-time customer is paid in full before the crew leaves.

Spring Cleans

Spring is the busiest season for one-time residential work. A typical spring clean is a full job: inside and outside, screens, tracks, and often hard-water spots that built up over winter. Bill it with clear line items:

Spring customers are also the easiest one-timers to convert to a recurring plan. More on that below.

Move-Outs and Move-Ins

Move-out cleans come with a deadline: the walkthrough, the closing, the new tenant. Who pays depends on the situation, and it matters for billing:

Put access details in the job notes: lockbox codes, which door, whether the utilities are on. An empty house with no water is a wasted trip.

Bigger One-Time Jobs

Not every one-timer is small. A large three-story home with years of buildup, or a post-construction job, ties up a crew for a full day. Many owners take a deposit on jobs like these. See Deposits for Big Window Cleaning Jobs: A Simple Policy Built on Invoices for a simple way to run that with a deposit invoice and a balance invoice.

Turning One-Timers Into Plans

The best thing you can do with a happy one-time customer is make them a recurring one. The billing is already set up: they have a card on file, an address with window details and a clean payment history.

Ask at the right time, right after the job, while the windows still sparkle. The tech can mention it at the door, and the office can follow up with a text: “Glad you liked it. Want us to come back every six months? Same price, we'll text before we come.” If they say yes, set the plan's minimum days between visits, and the next cleaning will come due on the Waiting List on its own.

Customers can also sign up for services in the customer app, which makes it easy for them to say yes later.

When the Card Was Not Captured

It happens. A phone booking, a rush, a friend of a friend. If the job is done and there is no card, the invoice is created at completion and the customer can pay online in the customer app. Text them right away while they are still happy with the clean windows. If it slips, past-due follow-up reminds them by text and email. Then tighten the process so it happens less next spring.

Paid Before the Van Leaves

Capture the card first, list every line clearly, charge at completion, and ask every happy one-timer to join a plan. To see how WindowBossPro handles one-time and recurring billing side by side, visit the window cleaning billing software page.
