Choosing a Window Cleaning Tech App: What to Check Before You Switch

Switching the app your crew runs every day is a real decision. Pick well and the office gets quieter, callbacks drop and billing takes care of itself. Pick badly and your techs end up back on paper within a month, typing window counts into a notes box that nobody reads. Here is what to check before you commit, written from the point of view of a window cleaning company, not a generic field-service business.

Start With the Day You Have Now

The move off paper is covered in Moving Window Cleaning Techs Off Paper Job Sheets and the Group Text. Before comparing any apps, write down what your techs actually need in the driveway and where your current system fails them. That list is your test.

For most window cleaning companies, the list looks something like: know how many windows and stories, know whether the inside is included, know about screens and hard water, get through the gate, know where the ladder goes, tell the office what happened, and get paid. Every app you look at should be judged against that list.

Check 1: Does the Job Card Speak Window Cleaning?

This is the big one. Generic field-service software gives a job an address and a free-text notes box. That forces the window details into notes, where they are easy to miss and impossible to report on. Look for:

In WindowBossPro these show under the address on the tech's phone as one readable line, “28 windows · 2-story · Inside & Outside · Screens,” with the access notes below. The same details show on the office lists.

Check 2: Does the Day Flow From the Office to the Phone?

Ask how jobs get onto the tech's phone and in what order. You want recurring cleanings that come due on their own, a dispatch board by van and day, route order set by hand or automatically from the shop, and a phone that follows when the office moves a job. If the tech's order and the office's order can drift apart, they will.

Check 3: Can the Tech Say What Happened in a Few Taps?

Look at the actual buttons. Is there a clear way to start, finish and skip a job? Does a skip come with a reason the office can see? Can the tech attach before-and-after photos to the job, not just to their camera roll? Can they add a note? Count the taps for a normal job; anything that takes more than a handful at the van will get skipped by a busy crew. Start, Skip, Complete: The Three Buttons That Run a Window Cleaning Day shows what a short workflow looks like.

Check 4: What Happens at Completion?

Finishing a job should do more than change a color on a board. Check whether completion creates the invoice from the job, whether a card on file can be charged automatically, and whether multi-location customers like property managers can get one monthly statement instead of a pile of invoices. If someone still has to retype every completed job into a billing system, you have not removed the billing night.

Check 5: Customers, Phones and Price

A few more things to confirm before signing up anywhere:

Test It on a Real Day

No checklist beats a trial. Load a handful of real customers with their window details and access notes, give one tech a PIN, and run a real day. Watch where they hesitate. Ask them at the end whether they would rather go back to the paper sheet. WindowBossPro offers a 14-day free trial with no credit card, which is enough time to run both a residential day and a storefront day.
